AI & Project Delivery

What should you prepare before commissioning an AI agent?

A requirements checklist covering goals, material, interfaces, acceptance and quotation scope.

The short answer

Prepare a clear business task, authoritative material, usable interfaces and acceptance questions. Scope answering separately from acting on systems, then discuss models, deployment and collaboration.

Define one concrete task first

“Build an agent” does not establish scope. A more actionable brief is “answer presales questions from product manuals and summarize follow-up items for the owner.” Identify users, inputs, outputs and the next step. The following is our requirements-planning checklist.

Workflows and autonomous decisions differ

A workflow follows predefined steps; a model choosing steps and tools dynamically introduces additional decision boundaries. Start with a simple approach that serves the goal rather than adding roles merely to call the system multi-agent.

List material and interfaces separately

For material, record sources, formats, versions and owners. For interfaces, record read/write capabilities and test environments. A website does not necessarily provide an integration API; clarify interface readiness before quotation.

Break acceptance down in an illustrative project

For an illustrative enquiry-to-ticket workflow, review classification, field extraction and ticket creation separately. Recognizing intent is not the same as successfully creating a ticket. This example explains scoping; it is not a claim about a completed client project.

Connect the quote to deliverables

We recommend identifying scenarios, document preparation, integrations, interface work, deployment and maintenance separately. Confirm whether model APIs, hosting and external platform costs are included. Review scope again when scenarios or permissions change.

A project checklist

  • Document inputs, outputs and the acceptance owner.
  • Prepare material and interface inventories.
  • Clarify external costs and ongoing support.

Common questions

Can we discuss the project before material is organized?

Describe goals and current conditions first, then assess required preparation and its effect on scope.

Are more agents always better?

Roles should serve task division and acceptance rather than act as a proxy for quality.

Must we provide administrator access?

Define required read/write operations before choosing access; full administrator access is not a default.

How is the schedule determined?

Assess scope, material and interface readiness, review progress and deployment conditions.
